1. What this policy covers
This Privacy Policy applies to the FindCarsWithAI website, deal-scanning service, early-access forms, support requests, and reports. “FindCarsWithAI,” “we,” and “us” refer to the operator of this service.
2. Information we collect
- Deal information: listing text, VIN, vehicle details, asking price, mileage, ZIP code, financing terms, fees, add-ons, trade-in figures, and contract terms you provide.
- Uploaded documents: screenshots, dealer quotes, financing offers, buyer’s orders, contracts, and similar files you choose to upload.
- Contact information: name, email, mailing address, optional phone number, and information included in a support request.
- Usage and attribution data: scan identifiers, timestamps, report completeness, purchase-intent events, campaign source and campaign name when supplied.
- Technical information: ordinary request and security logs generated by our hosting and service providers.
Do not upload Social Security numbers, full bank-account numbers, account passwords, or other information that is not needed to review the vehicle transaction.
3. How we use information
We use information to:
- create and improve your deal analysis;
- compare vehicle pricing and inventory;
- recalculate financing and identify inconsistencies;
- review fees, add-ons, trade-in information, and contract terms;
- provide AI-assisted vehicle-specific risk checks and counteroffer language;
- operate early access, support, abuse prevention, security, and service communications;
- measure product performance and acquisition campaigns.
4. Data providers and processors
Depending on configuration and the information you submit, the service may send limited information needed for a check to these providers:
We do not sell uploaded documents, personal information, or scan activity to vehicle dealers. We do not notify a dealer merely because you scan its listing or paperwork.
5. Uploaded-document storage and retention
Uploaded originals are stored in a private storage bucket. The application generates a time-limited signed link for analysis rather than making the bucket public. Original uploaded files are scheduled for automatic deletion no later than 30 days after upload. A daily retention job deletes expired files through the storage provider’s deletion API.
Structured scan data and generated reports can be retained longer so a result can be loaded, investigated for reliability, or associated with a purchase/support request. You can request earlier deletion of your uploaded documents and related personal data through the support form.
A signed link expiring does not itself delete the underlying file. Our retention process deletes the stored object; deletion requests are handled separately from link expiration.
6. AI processing
Some checks use the OpenAI API. FindCarsWithAI sends the information necessary to perform the requested extraction or analysis. OpenAI states that API inputs and outputs are not used to train its models by default unless the API customer explicitly opts in. Provider retention can vary by API endpoint and account configuration.
7. Security
We use private object storage, short-lived signed document links, server-side provider credentials, file-type/size validation, and access controls intended to reduce unauthorized access. No internet service can guarantee absolute security. See our Security & Data Handling page for implementation details.
8. Your choices and deletion requests
You may ask us to access, correct, or delete personal information associated with your email or scan. Submit a request through Support and choose the privacy/deletion topic. We may need to verify enough information to locate the correct records and prevent unauthorized deletion.
9. Children
The service is intended for people capable of entering a vehicle transaction and is not directed to children under 13.
10. Changes
We may update this policy as the product, providers, or legal requirements change. The effective date at the top identifies the current version.
